It’s a “Mail” dominant

DigitalDosa: Few years back “patrachaar”
was the way to exchange official correspondence among employees within the
company. A hard bound file with snake-ladder type remarks on its front page
(with an advisory to add extra pages) kept on travelling desk to desk. And ,
some fine day if unluckily Boss ask a employee to find some specific stuff from
the “patrachaar “ then employee terms it as “boss ka aatyachaar “.Time has changed
so as the way to communicate officially & un-officially. Sabeer Bhatia showed
the farewell flag to this “patrachaar” process by introducing ‘Hotmail”.
Industry took his idea more seriously then he himself did (who later sold
Hotmail to Microsoft).
In today’s corporate contour, only
email speaks not Men and Women, and any of your email is powerful enough to
trap you at any point during your tenure. Hence, writing emails / giving
replies to the emails have emerged as a “Rocket Science”. Some mid-volume companies
uses email multiplication model where a copy of an email received by an
employee is automatically sent to his/her boss & moving ahead any email
received by the boss will auto “cc” to the superior boss. In a competitive
workplace one of your KPI could be the number of emails written by you on daily
basis.
Another facet of this science is
how you mark emails i.e. managing the “To”, “Cc” & ‘Bcc” curves. Believe us
managing these curves are even more crucial then writing the email itself. Keeping
someone in “To” (which actually should be in “cc”) can get you official enmity
(lol :-) , may be only criticism).
Over the time, the world of
emailing has also transited from “under-developed” to “developing” stage.
Industry has invented several abbreviations to speed the routine tasks like
FYI: “For Your Interest” (If just
Information is to be given)
FYA: “For Your Action” (If action
is required from someone)
PFA: “Please find Attached” (If
information regarding some attached file is to be given)
Other points to remember:
To: Put the email/s of the person/s
from which action is expected
Cc (Carbon Copy): Put the email/s of
the person/s to which you like to involve in correspondence.
Bcc (Bearer to Carbon Copy): Put
the email/s of the person/s to which you like to involve in correspondence
without knowing this to the “To” recipient/s.
So, before writing an official email , don't be just chill :-)
